6.1 Work Schedule
Your supervisor will let you know how to access your work schedule online. Once you havecommunicated your availability to your supervisor, you are expected to accept scheduled work duringthose times. Schedules may include evenings and weekends as needed. Due to variable school/clientneeds throughout the year, there will be some periods during the year when there is no work available for hourly employees.
Notifying Your Manager if You are Unable to Attend Work
If you are unable to report to a scheduled class or program, please call your manager from your personal cell phone number so they know who is calling. If an Area Manager is not available, you should contact your Regional Manager. This is essential so that potential substitute instructors may be located.
Virtual Classes
Instructors are paid for the scheduled virtual class time plus 30 minutes for setup/prep time. If a virtual class is canceled, the instructor is not paid for this time.

CANCELLATIONS
Notice for Cancelled Activities - Instructors
Play-Well may cancel scheduled activities for reasons such as low enrollment, and the manager will notify the scheduled instructor(s) of the cancellation at least 24 hours in advance of the activity’s scheduled start time. Instructors are not compensated for a canceled activity, unless your manager does not notify you 24 hours in advance; in this case, instructors are compensate for up to three hours of time for the cancelled activity
Scheduled classes, a session, or camp may be also cancelled for reasons beyond our control such as inclement weather, natural disaster, or a school lockdown. The manager will notify the scheduled instructor(s) of the cancellation by 8:00 PM the day before the scheduled activity. Instructors are not compensated for a cancelled activity, unless your manager does not notify you by 8:00 PM the day before the activity was scheduled; in this case, instructors are compensated for up to three hours of time for the cancelled activity.
Notice for Cancelled Activities - Assistants
Instructional assistants will be notified of cancellations as far in advance as possible, and are not paid for cancelled sessions.
ARRIVAL/SET UP
Scheduled Arrival/Setup and Cleanup Time
All Play-Well instructors and assistants are expected to arrive prior to the scheduled start time of a scheduled class session and stay afterward for cleanup; this time is paid as follows:
Scheduled Arrival/Setup and Cleanup Time for Instructors
- Setup time is paid for you to organize and fully prepare before the session begins.
- Arrival and setup time for instructors depends on the type of program you are teaching:
School Year Enrichment Programs
- First Day - 30 minutes early
- After first day - 15 minutes early
Camps (Summer and Breaks)
- First Day - 45 minutes early
- After first day - 30 minutes early
Birthday Parties
- 15 minutes early
- Instructors are paid for 15 minutes of cleanup time after every scheduled program.
Scheduled Arrival/Setup and Cleanup Time for Instructional Assistants
All instructional assistants are expected to arrive at the client's site 15 minutes prior to the scheduled start time for setup and stay 15 minutes after each scheduled session for cleanup. This time is paid in addition to the class/camp/program sessions
DRIVE TIME
Driving to/from scheduled events / programs
Employees are paid for time spent driving in excess of one hour/day, which is considered commuting time. These events/programs include classes, camps, and training and marketing events.
Driving to complete tasks
When an employee travels to complete a required task (e.g., delivering marketing flyers, completing a background check, etc.) then the entire time spent driving and completing the task is paid time.
THREE HOUR MINIMUM
Three Hour Daily Minimum for Instructors
This policy applies only to instructors while teaching activities and programs. If your total class-related time for a day is less than 3 hours, we automatically round up to 3 hours. This will be indicated by the highlighted total.on your time card.
San Francisco Family Friendly Workplace Ordinance
Employees who work within the San Francisco city limits, at least 8 hours/week, and have been employed with our company for at least six months can request a flexible or predictable work schedule to assist with caregiving responsibilities for:
1) a child or children under the age of 18,
2) a person or persons with a serious health condition in a family relationship with the employee, or
3) a parent of the employee, age 65 or older.
An employee’s request will be in writing. We will meet with the employee within 21 days of the written request, and then will respond to the employee within 21 days of that meeting. We will confirm the approval or denial of the employee’s request in writing. Denial of a request will include a written response that includes a bona fide business reason for denial and notice of the employee’s right to request reconsideration.
